How to make a quotation
- Enter your business details once: name, address, phone and state. If you are registered under GST, tick "Registered under GST" and enter your GSTIN. If you already use the invoice maker on this phone, these details are filled in for you.
- Fill in the customer and choose the place of supply (the customer's state), so GST is split correctly.
- Add the items with quantity, unit, rate and GST rate. The total, GST and amount in words update as you type.
- Check "Valid until". It is set to 15 days after the quotation date; change it if your prices hold for a shorter or longer time.
- Write your terms: advance, delivery time, transport, warranty. They are remembered for your next quotation.
- Download the PDF or share it on WhatsApp. The quotation is saved under "Saved quotations", and the next one gets the next number (QT-001, QT-002 and so on).
Quotation, estimate or proforma invoice?

A quotation is not a bill. You collect and pay GST only on the tax invoice you issue when you actually supply. Once the customer agrees, make the invoice with the invoice maker using the same items and rates.
What a good quotation includes
- Your business name, contact details and GSTIN (if registered)
- A quotation number and date, and how long the prices are valid
- The customer's name and address
- Each item with quantity, rate and GST rate, and the total
- Terms: advance, delivery period, freight, installation, warranty
Example
A furniture shop in Pune quotes 10 office chairs at ₹4,500 each with GST at 18% to a customer in Pune:
- Items: 10 × ₹4,500 = ₹45,000
- CGST 9% = ₹4,050 and SGST 9% = ₹4,050
- Quotation total: ₹53,100
If the customer were in Gujarat, the tool would show IGST 18% (₹8,100) instead; the total stays the same.
Tips for winning the order
- Send the quotation the same day. A quick reply often matters more than a small discount.
- Keep the validity short (7–15 days) when your purchase prices change often.
- Mention what is not included, such as transport or installation, to avoid arguments later.
- Follow up a day or two before the quotation expires.
Frequently asked questions
Should I charge GST on a quotation?
No. A quotation only shows the GST that will apply. GST is charged on the tax invoice you issue when you supply the goods or services.
Can I make a quotation if I am not registered under GST?
Yes. Leave "Registered under GST" unticked and the quotation shows prices without any tax.
Where are my quotations saved?
Only on this device, under "Saved quotations". Nothing is uploaded. Download a backup regularly so you don't lose them if you change phones.
Can I edit a quotation I already sent?
Yes. Open it from "Saved quotations", make the changes and download it again. It keeps the same number. For a revised offer you can also start a new quotation.
Can I make the quotation in Marathi or Hindi?
Yes. Switch the page to मराठी or हिंदी at the top: the PDF headings and the amount in words follow the page's language.
